Responsibilities

The Executive Assistant will deal with a broad range of support responsibilities including:

    • Arranging complex domestic & international travel.
    • Setting up intricate meeting schedules with internal and external customers.
    • Prepare and manage expense reports. 
    • Compiling weekly status reports from various business units; ensuring each Business Unit is represented on the weekly call.       
    • Coordinating with business units to research and compile White Papers in preparation for Tradeshows.
    • Arranging large scale offsite events; working with vendors to obtain numerous quotes.
    • Researching and determining timeline and agenda for all internal and offsite events; Requires close collaboration with ESL and ESA Associates.
    • Responding to both routine and complex correspondence.
    • Greeting on-site visitors.
    • Answering telephone calls as a screening agent and to refer callers to the necessary POC.
    • Submit invoices and check requests as needed to Accounts Payable.
    • Understanding security requirements for foreign visitors and following procedures related to submitting Visitor Requests.
  • The Executive Assistant will generate letters, memos and other executive level correspondence.
  • Will have the utmost understanding of the confidentiality necessary when working on projects.
  • Will use mature judgment in completing activities and operate under general supervision.     
  • Will use MS Office suite applications; to include Word, Excel, Power Point and SharePoint.
  • Will be asked to use judgment and discretion in completing regular assignments.

 

Authorities:

  • To make decision on how to handle visitors and customer calls during the business day.
  • To use personal judgment and discretion in completing the assignments.
  • To utilize the proper EFW administrative procedures for the action taken with in the assigned department.

 

Qualifications

Education:

High School diploma required.  Bachelor degree preferred or 5-10 years C-Level experience may substitute.

 

Experience Required:

Executive Assistant Background: 3-5 years

Sr. Management Level Support: 5-7 years

C-Level Support: 3-5 years

 

Knowledge, Skills, Abilities Required (Unique and Measurable):

  • Outstanding Organizational skills with the ability to see the big picture.
  • Superior communication qualities are needed.
  • Proficiency in MS Office applications including Word, Excel, Power Point and SharePoint.
  • College Degree preferred.
  • Strong verbal, written and communication skills. 
  • Must be able to generate senior-level letters, memos, etc.
  • Ability to handle highly sensitive or confidential information.
  • Maintain Complex calendar(s).     
  • Make travel arrangements as requested.
  • Maintain all department paper-files. 
  • Has prior C-Level experience. 
  • The ability to perform other duties as assigned.
